Configure an Export Button

Introduction

Users will often have a business need to view the records offline. This process enables them to download the records in PDF or Excel format.

Prerequisites

  • The lookup form must already exist.
  • The data table must already exist.
Quick Steps
1 Open the Lookup form
2 Open the Data Table properties, then enter the Selection
3 Add the Export button
4 Enter the Action Type
5 Save the form

Detailed Steps

Step 1. Open the Lookup form.

Open the form you want to add an Export button to.


Step 2. Open the Data Table properties, then enter the Selection.

Select the section that contains the data table you want to export. In this case, it is Search Results section.

Open the properties for the data table you want to export records from, then set the Selection property to Many so the user can select multiple records from the data table.



Step 3. Add the Export button.

Drag and drop the Export button icon where you want it on the form.



Step 4. Enter the Action Type.

The property to update is Action Type. This determines how the user can download the file when they click the button. Options are:

  • PDF: The selected records will download as a PDF file.
  • Excel: The selected records will download as an Excel file.
  • All To Excel: All the records present in the data table will download as an Excel file.
When you enter the Action Type, Xelence automatically populates the Caption. For example, if the Action Type is Excel, the Caption will be "Export to Excel".
You can also update the Caption to anything you want.
In the General section, choose the Action Type as desired. This example uses PDF. 

Xelence automatically populates the button’s Caption.



Step 5. Save the form.


Then, run the Preview. Xelence displays the form output. You can test your updated settings. When you have previewed your form, it should look something like this:

The Export button is visible in the form. You can select none, all, or a few records, as desired. Selecting none or all records will generate the same output PDF. Click the Export to PDF button to download the PDF.

If the Action Type is 'PDF' or 'Excel', the application displays a window for the user to select the columns they want to include in their file.

 The PDF is downloaded.

Here, Action Type is 'Excel' so the caption for Export button changes accordingly. The first 3 records are selected to be exported from the data table. Click the Export to Excel button to download in Excel format.

  All the columns are selected except Email Verification Flag and Company Name. Click the Download as Excel button to finish the download.

   The file is downloaded with the desired records and columns.

 Here, The Action Type is changed to All to Excel. The Caption changes accordingly. This Action Type does not give the option of selecting the columns to be imported from the data table. All the records with all columns are downloaded when the user clicks the Export All Excel button.

The file is downloaded.
